With work commitments and a busy lifestyle, we can provide a stress free, cost effective approach to find the right tenant for your property.
As soon as your existing tenant gives notice to leave, it is important to start looking as soon as possible for a new tenant. You should ring SAMS straight away and make an appointment to meet at the property so details can be taken prior to marketing. We note any special requirements, for example if pets are allowed or if there are any lease specific rules.
If you decide to go ahead, we will need your photo i.d, written proof that you own the property such as a Council Tax Bill, and proof of where you live. You will also be required to sign a Tenant Find Service Agreement and pay the Tenant Find fee. We will also need the EPC and details of the tenant if the property is occupied.
We will then arrange to visit the property again with the permission of the existing tenant to take all the details and photographs so we can advertise it on the SAMS Accommodation website as well as the Zoopla, PrimeLocation and OnTheMarket portals. We will also arrange for a To Let board to be erected where one is allowed and will showcase the property on the SAMS Office advertising boards.
Before any viewings take place, we talk though the comprehensive referencing process with the applicant to see if they would be suitable and would be likely to pass the affordability and credit checks. We also talk through their circumstances and ask if they have pets etc. Following a satisfactory discussion the tenant’s details are forwarded to you to arrange a viewing. It is better for you to meet them yourself as you will be managing the property so it is important to get to meet your tenants to make sure you think they will be suitable. You can also go through the details in your tenancy agreement and the deposit information.
Once the property is under offer, we arrange for comprehensive credit referencing to be carried out on all the tenants and we employ a specialist independent third party to carry out this work. We take all steps to ensure the highest calibre of tenant and checks for County Court Judgements (CCJ’s), Bankruptcies etc, are undertaken together with proof of income from their employer and references from their present or previous landlords/Agent. If Guarantors are required, they are also referenced and all of this information is handed over to you prior to the tenant taking occupation.
If a tenant successfully passes credit referencing we meet them face to face to take their documents to comply with the Right To Rent legislation. These details are recorded and copies kept as proof that they were undertaken. This information is handed over to you prior to the tenant taking occupation, as depending on their nationality, further checks may be required if Passport Visas and Biometric Residence Permits are involved.
Once all of this has been done we will give you a handover pack with all of the tenant’s information so you can confirm the move in arrangements directly with the tenant, deal with the deposit and raise the Tenancy Agreement.
